Appointment Scheduling
All diagnostic and repair appointments with Open Road Auto Care LLC must be scheduled in advance. Appointment times are reserved specifically for your vehicle and service needs.
Card on File & Retainer Policy
In order to reserve an appointment with Open Road Auto Care LLC, a valid debit or credit card is required, along with a $100 retainer. This retainer helps ensure appointment availability and reduces last-minute cancellations or no-shows, which impact our ability to serve other customers. The $100 retainer is applied toward the cost of your diagnostic and/or repair at the time of service. If an appointment is canceled or rescheduled with less than 24 hours’ notice or is missed without notice, the retainer may be forfeited in accordance with our scheduling policy.
The full balance will only be charged after repairs are completed and the vehicle and keys have been returned to the customer, unless otherwise stated in this policy or agreed to in a separate contract.
Cancellation & Rescheduling
We require a minimum of 24 hours’ notice for any appointment cancellation or rescheduling.
Cancellations or rescheduling made less than 24 hours before the scheduled appointment time may be subject to a $50 late cancellation fee.
No-show appointments (failure to be present, failure to provide vehicle access, or failure to communicate) are subject to a $100 no-show fee.
These fees help cover lost time, travel, and scheduling impacts associated with mobile service.
Access & Readiness
Customers are responsible for ensuring the vehicle is accessible, safe to work on, and ready at the scheduled appointment time. Failure to provide access may be treated as a late cancellation or no-show.
Payment Authorization
By providing a card on file, the customer authorizes Open Road Auto Care LLC to charge applicable fees outlined in this policy, including late cancellation or no-show fees, if incurred.
Confidentiality & Data Protection
All customer information, including payment details, contact information, and vehicle information, is treated as strictly confidential.
Open Road Auto Care LLC does not share customer information with any third parties, and information provided is not saved, stored, or retained for future use beyond what is necessary to complete the scheduled service.
Policy Acknowledgment
Scheduling an appointment with Open Road Auto Care LLC constitutes acceptance of this Scheduling & Cancellation Policy.

Payment Terms -
Payment for all services performed by Open Road Auto Care LLC is due immediately upon delivery of the vehicle or upon completion of services, whichever occurs first. No vehicle will be considered released until payment has been received in full, unless otherwise agreed to in writing.
Late Fees -
If payment is not received within 72 hours of delivery or invoice date, a late fee of $100 will be added to the outstanding balance. Late fees do not waive the requirement to pay the full remaining balance.
Non-Payment & Legal Action -
Failure to pay the full balance owed within 10 days of the invoice date may result in legal action. This may include, but is not limited to, small claims or civil court proceedings. The customer agrees that all legal fees, court costs, collection costs, interest, and additional expenses incurred in the recovery of unpaid balances shall be added to the total amount owed.
Collections & Garnishment -
Unpaid balances may be submitted to collections or pursued through legal remedies. Accounts remaining unpaid for 90 days or more may be subject to wage or bank garnishment, where permitted by law.
Authorization of Services -
By authorizing repairs or diagnostics, the customer agrees to pay all charges associated with approved services, including labor, parts, diagnostics, fees, and applicable taxes.
Disputes -
Any disputes regarding services or charges must be communicated in writing within 48 hours of invoice issuance. Failure to do so constitutes acceptance of the charges.
Governing Law -
This policy shall be governed by and interpreted in accordance with the laws of the State of Oregon.

* Limited Liability – Mobile Mechanic Operations (Oregon)
Open Road Auto Care, LLC operates as a mobile mechanic service within the State of Oregon. Due to the nature of mobile repair work, services are performed on a limited-liability basis. Open Road Auto Care, LLC is not liable for:
- Pre-existing vehicle issues or hidden defects not visible during inspection
- Damage or complications resulting from customer-provided parts
- Hazards or unsafe conditions at the service location
- Environmental factors that may affect repairs (weather, terrain, interruptions, etc.)
- Issues arising after the vehicle leaves the service location unless directly related to completed work
- All assessments and recommendations reflect the vehicle’s condition only at the time of inspection.
* Diagnostic Fee Policy:
A diagnostic fee is applied when a vehicle issue has been inspected and diagnosed but the customer declines the recommended repair.
If the customer approves the repair, the diagnostic charge is credited toward the total labor cost, effectively reducing the overall cost of the service.
* Customer Acknowledgment:
By receiving service, the customer acknowledges and agrees to the above terms and understands the limitations of mobile mechanic operations.
